Residential Camps Terms & Conditions

These Terms & Conditions apply to all residential camps delivered by Lions Sports Academy (“LSA”, “we”, “us”, “our”). By making a booking, you confirm that you have read, understood, and agreed to the terms set out below.
1. Booking & Payment

1.1 Full payment is required at the point of booking, and no later than the first day of the camp.
1.2 Places are confirmed only once payment has been received in full.
1.3 Any payments more than 14 days overdue may incur a 5% administrative charge.
1.4 If a cheque is returned unpaid, a £10 administration charge will apply to cover bank fees.

2. Cancellations, Refunds & Credits
2.1 Standard Cancellations
  • Cancellations made at least 14 days before the camp start date are eligible for a refund, minus the booking fee.
  • Cancellations made within 14 days of the camp start date will not receive a refund. The booking fee will be held as a credit on your account.
2.2 Illness or Injury (Pre-Camp)
  • Where a child is unable to attend due to illness or injury, we may offer a refund or credit at our discretion, subject to appropriate supporting evidence.
  • Refunds will be calculated pro-rata where part of the camp has already been attended.
2.3 Same-Day Cancellations
  • Cancellations on the day of arrival or during the camp due to illness, injury, homesickness, anxiety, or unwillingness to participate are not eligible for a refund, except where covered by the Money-Back Guarantee (see Section 3).
2.4 Credits
  • Credits are valid for 6 months from the date of issue.
  • Credits may be used against any Lions Sports Academy course or camp, subject to availability.
  • Credits are non-transferable and expire after 6 months.
2.5 Refund Processing
  • Approved refunds are processed twice monthly, on the mid-month and end-of-month Friday.
3. Residential Camps Money-Back Guarantee

3.1 This guarantee applies only after completion of the first full day of the residential camp.

3.2 A full refund will be issued only where dissatisfaction relates directly to the quality of delivery by Lions Sports Academy, including:

  • Coaching quality
  • Organisation and structure of the programme
  • Supervision and care standards

3.3 The guarantee does not apply where a child chooses to leave camp due to factors outside of Lions Sports Academy’s control, including (but not limited to):

  • Homesickness
  • Anxiety or nervousness about staying away from home
  • Fear of the dark or unfamiliar environments
  • Behavioural issues or unwillingness to participate

3.4 Any concerns must be raised in person with the Camp Lead before collection, allowing Lions Sports Academy the opportunity to address and resolve the issue.
3.5 Once a child has completed more than the first full day, no refunds will be issued.
3.6 The guarantee applies per child, per camp, and cannot be transferred or deferred.

4. Camp Cancellations by Lions Sports Academy

4.1 Lions Sports Academy reserves the right to cancel a camp up to 48 hours before the start date if minimum booking numbers are not met. In this instance, a full refund will be issued.

4.2 A camp may be cancelled at shorter notice due to circumstances beyond our control, including but not limited to:

  • Severe weather warnings
  • Facility or accommodation issues
  • Public health or safety concerns

In such cases, a full refund will be provided.

5. Room Allocation

5.1 We will always aim to allocate children in rooms with friends where a request has been made.
5.2 Room allocations are subject to:

  • Venue availability
  • Age groupings
  • Safeguarding requirements
  • Timing of bookings

5.3 Where it is not possible to place children in the same room, we will ensure they are accommodated as close as possible to their friends and within an appropriate age group.
5.4 All room allocations are carefully managed to prioritise safeguarding, wellbeing, and a positive residential experience for every child.

6. Behaviour & Conduct

6.1 All children are expected to behave respectfully towards:

  • Other participants
  • Staff and coaches
  • Accommodation, facilities, and equipment

6.2 Minor behavioural issues will be addressed by staff using age-appropriate guidance and support.
6.3 Serious or persistent misconduct may result in:

  • Temporary removal from activities, or
  • Early removal from camp, at the discretion of the Camp Lead.

6.4 Where a child is removed from camp due to behaviour, no refund will be issued, and parents/guardians are responsible for arranging and covering the cost of early collection.

7. Damage & Breakages

7.1 By booking a place on the camp, you accept responsibility for any loss or damage caused by your child to accommodation, facilities, or equipment.
7.2 Where damage occurs as a result of your child’s actions, you agree to reimburse Lions Sports Academy for the full cost of repair or replacement.
7.3 Lions Sports Academy will notify you promptly of any incident and provide details of costs incurred.
7.4 Payment of such costs is required within 14 days of notification.

8. Weather & Programme Changes

8.1 Camps will continue in wet weather.
8.2 Activities and schedules may be adapted where necessary for safety, welfare, or operational reasons.
8.3 In the event of extreme weather or unsafe conditions, sessions may be modified or cancelled. Where cancellation occurs, appropriate refunds will be offered.

9. Medical Information & Medication

9.1 You must disclose all relevant medical, physical, behavioural, dietary, or additional needs during the booking process.
9.2 All information is treated confidentially and shared only with staff who need to know to ensure safe delivery.
9.3 Any medication (including inhalers) must be handed to the Camp Lead or designated staff member at the start of the camp.

10. Photography & Media

10.1 Photography and video recording are permitted only with prior parental consent provided during registration.
10.2 Images may be used by Lions Sports Academy for marketing and promotional purposes in line with our Safeguarding Policy.
10.3 Parents and visitors are not permitted to take photographs or videos at camp. Any unauthorised recordings must be deleted immediately if requested.

11. Safeguarding & Child Protection

11.1 Lions Sports Academy has a duty to act if a child is suspected to be at risk or makes a disclosure of abuse.
11.2 All concerns are managed in accordance with our Safeguarding & Child Protection Policy, available on the Governance page of our website.

12. Complaints

12.1 We are committed to providing an exceptional experience.
12.2 Any concerns should be raised promptly with the Camp Lead while the camp is ongoing, as most issues can be resolved immediately.
12.3 If concerns remain unresolved, complaints may be submitted in writing to the Safeguarding Officer.
12.4 All complaints are taken seriously and responded to within a reasonable timeframe.

13. Liability

13.1 Lions Sports Academy does not exclude or limit liability for death or personal injury caused by negligence, fraud, or any matter that cannot be limited by law.
13.2 Subject to the above, Lions Sports Academy shall not be liable for indirect or consequential losses arising from participation in camp activities.

14. Data Protection

14.1 Lions Sports Academy acts as a Data Controller in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
14.2 Personal data is collected solely for the purposes of administering bookings, safeguarding, and camp delivery.
14.3 You confirm that you have permission to provide personal details for all children included in your booking.

15. Governing Law

These Terms & Conditions are governed by the laws of England and Wales, and any disputes shall be subject to the exclusive jurisdiction of the English courts.
